No matter what client or web based email system you use, it is pertinent that you group them or arrange them according to some sort of a logical or comprehendible arrangement so that you can use them in a systematic way when necessary. One of the most important groups that is probably used only a few times each year is a group of all your customers and partners. This list allows you to send out a single message such as a “Happy Thanksgiving” or a “Happy Holidays” note without having to manually type and send each recipient a separate message.
We shall see how to work with contacts and create groups. We have already discussed about the process of creating new contacts elsewhere on this website. So picking up from there we shall move into the process of first how to create a new group.
Start by logging back to your Gmail account. Now on the left of the main window there is Gmail button followed by a down arrow.
Click that to reveal more options. Click on Contacts.
You will be taken to the page where you can do all sorts of contact management tasks.
In order to create a new group click on the “New Group” link just above the “Sign In to chat” link.
You will be prompted to enter the group name.
Enter a group name and then click “Ok” to continue. Let’s say we enter the group name “Pets”. It will briefly show a message that the group name pets have been created and if you wish to undo it.
Once the group is created, it will show up on the left sliding label bar.
Clicking on it will reveal all the contacts that are currently in the group. Obviously we don’t have added anything yet, so this shows nothing.
Let’s check the process of adding a contact to a group. Start by clicking on the My Contacts button.
Now click on the name of the contact that you wish to transfer to a group.
Now click on the group icon.
It reveals the names of the groups that you have.
You can also opt to create a new group name if you wish to.
Once you have the right group selected, click “apply” and your contact will be added to the group concerned.
You will also be shown a confirmatory message that the contact has been successfully transferred to the group.
